Location:  Minneapolis, MN

Status:  Full-time, Exempt

The Assistant Project Manager provides support in a variety of construction projects that range in size and scope.  This individual works closely with the Construction Project Manager(s) to manage the project budget, drive the schedule, adapt to changes and address any issues that arise as well as gain experience by serving as the project leader for small to mid-size projects. In addition, the Assistant Project Manager will manage administrative tasks, work closely with both internal and external project contacts, coordinate the day-to-day needs of the project, thrive in a fast-paced environment, demonstrate regular use of discretion, judgement, and problem solving.  Customer Service and client satisfaction are our primary goals while representing the Schafer Richardson brand.

Duties and Responsibilities:  The job description below outlines primary responsibilities and is not intended to be all encompassing.  Other duties may be assigned as necessary by the Construction Project Manager or Vice President of construction.

  • Assist the Construction Project Manager and/or Vice President of Construction as needed throughout the project life cycle
  • Accurate and thorough estimate creation
  • Execute bidding process including timeline and pre-construction schedule
  • Establish budget and schedule for construction projects
  • Assist in analyzing drawings or specifications to determine project requirements
  • Create relationship with client to understand their needs and deliver excellent customer service; Act as point of contact between vendors and owners throughout job scope, communicating effectively on a day-to-day basis
  • Quickly and professionally resolve issues that may arise within the project
  • Prepare and execute owner contracts, subcontracts, and change orders according to project scope
  • Communicate job information to Accounting which includes job set up, budget, and billing information.
  • Create and maintain RFIs
  • Create and maintain all cost changes via the change order process
  • Create and submit timely owner pay applications or billings
  • Monitor and control expenses which includes approving vendor or materials invoices making sure to code correctly and send to Accounting for processing
  • Maintain consistent and effective communication with all team members
  • Handle financial closeout of all subcontractors and vendors so accounting billing matches final contract amount
  • Handle all administrative aspects of the project lifecycle, including but not limited to:
    • tracking project deadlines
    • managing task lists
    • obtain building permits and SAC determination as required
    • communicate all changes and updates to the team and distribute as necessary
    • create submittal log of required material, product data, and shop drawings and manage the routing process
    • track procurement of all materials
    • build closeout log, obtain documents from trade partners, and compile a complete closeout packet for the client
    • assist with data entry of punch list items and follow up with vendors on completion of items
  • Track project time and enter via time tracking system each week

Knowledge, Skills and Other Abilities:     

  • Ability to exercise initiative and work independently as well as part of a collaborative team
  • Basic understanding of general contracting and construction project life cycle
  • Strong verbal and written communication skills with the ability to effectively present detailed information
  • Ability to develop strong relationships with co-workers and customers
  • Ability to read architectural plans and specifications
  • Proficiency in Microsoft Office products including Excel, Word, and Outlook
  • Strong financial and analytical skills
  • Flexible mindset with the ability to adapt to changing priorities and deadlines
  • Creative problem solver with the ability to anticipate needs, proactively find solutions, and execute decisions
  • Excellent attention to detail
  • Strong organizational and time management skills with the ability to handle multiple tasks simultaneously

Experience/Education/equipment Requirements:

  • Bachelor’s degree in a related field (construction or project management) preferred
  • 1 – 2 years of experience as a project assistant or similar position within construction industry required
  • 2 – 4 years of experience in general contracting preferred
  • Experience with construction industry software

Travel:

Travel locally to job sites as needed

While performing the duties of this job, the employee must frequently communicate with other employees, subcontractors, and the management team.  In addition to the above physical demands, the employee may be exposed to hot and cold temperatures, excessive noises, and fumes.  The employee will constantly move their arms and lift them overhead and may move up to 50 pounds while moving about on job sites.  The employee also regularly submits timesheets via electronic device (computer or mobile phone).
