Summary:

Schafer Richardson, LLC is a real estate investment company providing development, management, leasing, and construction services to its commercial and multifamily real estate portfolio in the Upper Midwest.

The Sr. Property Manager is responsible for overseeing all property operations for the assigned portfolio to support investment plans and operating expenses to achieve NOI growth and maximize cash flow. In addition, the Senior Property Manager will investigate, plan, organize, manage, and execute the activities of the assigned portfolio through utilization of resources to deliver excellent customer service and satisfaction in representing the Schafer Richardson real estate service brand.

DUTIES AND RESPONSIBILITIES include the following. Please note, the job description is not intended to be all encompassing. Other duties may be assigned as needed.

BASIC FUNCTIONS:

  • Establish and maintain strong working relationships with all Direct, manage, and plan tenant relations across portfolio to ensure highest tenant satisfaction.
  • Direct and monitor all building staff, engineers, maintenance technicians, security officers, janitorial persons, construction providers, subcontractors or other personnel and service providers on site.
  • Identify an appropriate staffing structure for the portfolio, hire, manage, and develop staff.
  • Mentor, coach and train your team for Present a positive, helpful attitude, always, when interacting with co-workers and customers.
  • Provide clear direction and distribute workload appropriately among staff, subcontractors, and vendors.
  • Work closely with the building engineer to assure that all periodic inspections (HVAC, FLS, elevator, roof, plumbing) are performed timely in line with budget. All associated paperwork filed in appropriate locations.
  • Work with our legal department in reviewing all leases for accuracy and completeness.
  • Work with our leasing team in reviewing proposals for accuracy and completeness before they go out to prospective tenant.
  • Correspond with tenants regarding leasing, building operations, management questions, and maintenance and repair issues or other service-related items brought to your attention.
  • Work in conjunction with leasing representative to provides answers to leasing questions, help tenants with move in and move out policies, and keep the building common areas and vacant spaces in good condition for prospective tenant tours.
  • When requested, attend initial property tours with leasing company or owner.
  • Coordinate, plan, and review approval for construction work with architect and tenants to make sure historical elements are preserved and nuances in special design elements of the building are addressed.
  • Supervise landlord and tenant contractors and ensure compliance with risk management and safety standards.
  • Perform regular inspections of the building exterior and interior, including tenant areas and implement compliance with code, local, state, and federal ordinances, and company or building policies and procedures.
  • Review and obtain approval for financial operations for the property including coding bills, oversee accounts payable and receivable, tenant rent collection and maximize operating efficiency and financial performance of the property.
  • Obtaining bids for all work performed at the building.
  • Manage the Community Floor and Flex Floors for cleanliness, repairs and supplies needed.
  • Maintain the Osborn370 website portal with current stacking plan, pictures and current local and tenant news.
  • Prepare a regular newsletter circulated to the tenants that may highlight a tenant, inform of building events, and maybe some local news that affects them.
  • Manage all rental inquiries for Conference Room and Amenity spaces that come through the Osborn370 website portal or direct. Prepare License Agreement and collect rental and security deposit.
  • Organize and contract all Landlord provided tenant events in line with budget (music, food, games etc).
  • Direct and manage operating expense projects and service agreements to meet budget a schedule in accordance with Management Agreement.

ADVANCED FUNCTIONS:

    • Prepare and submit monthly financial statements, leasing, and operational reports, annual budget, and property condition reports.
    • Provide ongoing recommendations on capital expenditures and develop a 5- year capital plan for the property on an annual basis, for all items that will require repair or replacement outside of normal day to day operations. Manage and track projects to include vendor management, contract development, and processing payment applications.
    • Oversee rent collection, manage delinquencies, and implement legal remedies when necessary.
    • Obtain, review, and negotiate scope of work descriptions, service agreements, and business vendor contracts to provide quality-control, and oversight while implementing cost- containment initiatives, measures of compliance and contract standards.
    • Maintain files and written records and prepare professional written correspondence with tenants, vendors, and clients.
    • Collaborate with other Schafer Richardson colleagues to seek, offer, and gain experience as well as utilize them as resources, etc.
    • Learn the Schafer Richardson culture and communicate that culture consistently through all relationships.

EQUIPMENT:

  • Personal owned vehicle for transportation to various sites included in managed portfolio.
  • Must possess a valid driver’s license, acceptable driving record, and the state mandated level of insurance.
  • Personal owned cellphone.

WORKING HOURS:

  • Core hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. The Senior Property Manager may be required to work outside of the core hours to include nights and weekends to resolve issues and/or provide service to their assigned portfolio, as needed.

EDUCATION/EXPERIENCE:

  • Bachelor’s Degree Required
  • Real Estate Designation Preferred
    • MN Real Estate License (Salesperson) Required
  • Professional designation acquired/required through BOMA, IREM, or other industry
  • Professional development through BOMA, IREM, or other industry trade organizations is required

Knowledge, Skills and Other Abilities:

  • Demonstrate the ability to organize, coordinate, track, and complete multiple tasks, while adjusting to changing priorities.
  • A minimum of 15 years of commercial property management experience.
  • Experience in Yardi and accounting software such as MRI, Angus, or CTI preferred proficiencies.
  • Must have advanced experience in using Microsoft Office, including Word, Outlook, Excel, Sharepoint, Teams, and PowerPoint
  • Strong financial and analytical skills.
  • Ability to keep information strictly confidential.
  • Strong desire to succeed in and entrepreneurial environment.
  • Must be able to handle multiple projects, changing priorities and a continually heavy workload.

The employee in this position must frequently communicate with tenants as well as department management and must be able to exchange accurate information in these situations. While performing the duties of this job, the employee must be able to remain in a stationary position 50 percent of the time. The employee operates a computer and other office productivity machinery (i.e., a computer, copy machine, and computer printer). In addition will occasionally lift and/or move up to 15 pounds as well as move about inside the office to access computer equipment and/or throughout the building to handle cleaning and maintenance.
