Schafer Richardson LLC provides quality investment, leasing, management, development, and construction services to the commercial and residential real estate industries.  We want to add an energetic, professional, motivated and talented individual to our team who will mainly be responsible for providing administrative support to our in-house attorney as well as back-up support as needed to the remaining areas in our organization.

Duties and Responsibilities included below.  Other duties may be assigned as necessary.


  • Administrative Support to in-house Attorney:
    • Prepare legal papers and correspondence
    • Perform secretarial duties using legal terminology, procedure, and documents
  • Office Administration:
    • Provide back-up support as needed to the Office Administrator which includes:
      • Organize, sort, and distribute mail
      • Monitor postage machine and process refills as necessary
      • Accept, log, and distribute deliveries
      • Maintain tidy reception area, meeting, and conference rooms
      • Monitor meeting room schedule
      • Make coffee and order food for meetings as directed
      • Maintain clean and tidy work areas and break room. Involves bussing dishes to dishwasher, putting away clean dishes, clean counter top and table surfaces
      • Order supplies for office and break room areas
      • Answer phones and company inquiries in order to route calls to appropriate staff members
      • Greet guests and visitors professionally and attentively


  • Previous Office Administration and/or Executive Assistant experience is required

Knowledge, Skills and Other Abilities:

  • Experience transcribing information using a Dictaphone
  • Proficiency in Windows and Microsoft Office applications specifically with Word and Powerpoint
  • Excellent communication skills and follow through
  • Ability to communicate effectively by phone and in person
  • Ability to problem solve
  • Ability to multi-task
  • Maintain professional presentation and conduct at all times
  • Excellent attention to details
  • Able to manage time appropriately in order to meet deadlines as directed
  • Strong customer service skills
  • Able to develop a working knowledge of company procedures and departments
  • Must maintain confidentiality of all matters relating to the company

The person in this position frequently communicates with staff, vendors and customers and must be able to exchange and communicate accurate information in these situations. The employee must occasionally lift and/or move up to 25 pounds.
